Count Received Emails

How do I get the total number of emails I receive at a daily level? I see the number of email in my inbox, and the number of unread emails, but I want to know the number of emails I received yesterday.

This is actually very easy to do: create a Search Folder that looks for mail received Yesterday (or any period you desire.)

To do this, right click on the Search folder and choose New Search folder.

Scroll to the end of the New Search Folder dialog and choose “Create a custom search folder”

  1. Click Choose to choose the criteria.
  2. Create a custom search folder

  3. Type a name for the search folder
  4. Click the Criteria button to open the filter dialog.
  5. In the Time field, choose Received and select Yesterday.

    If you are searching all folders in your mailbox and use RSS feeds, you may want to add a condition to the Advanced tab: Message class is IPM.Note so that the search folder is limited to email. If you limit the search to the Inbox, this will not be necessary.
    Click Ok when finished adding filters.

  6. Click the Browse button if you want to limit the folders that are searched. Deselect the Mailbox root and select the Inbox and any other folders you want to include.

To see the message count, open the search folder and check the Status bar.

Or, right-click on the folder and choose Properties then set the folder to show the total number of items instead of number of unread items. You may need to open the Search folder to refresh the count.

Note: If you use an older version of Outlook or all messages you need to count are in one folder (such as the Inbox) you can create a custom view using this filter. Apply the custom view to display the messages and get the count from the status bar then switch back to your default view to view all messages.

    can you set it up to show how many emails received on a specific day such as all recevied on monday or all received on tuesday ?

      No, not easily. You'd need to use vba to get the day of the week and count it.

    Thanks Diane. The problem in importing to excel is solved but the emails which i moved to the new folder under RSS Feeds got lost.:-(

      Can you find them using search? Which folder did you put them in? In some versions of Outlook, the RSS Feeds folder using a folder home page - if yours does and that is where you put the messages, right click on the folder, choose properties then folder home page tab to disable it.

    Hi Diane,

    Hope you are doing good. reaching out to you for help after 1 year :-). I have created a custom search folder based on above with regard to the shared email folder where 23 people are working on it.(23 folders inside inbox). Eventually it showed me the emails responded by 23 people. However to get the count by user wise, i tried to copy and paste the data in excel and i failed. Again, i tried with Acccess to link outlook but access couldn't identity the search folder. So i created created new folder under RSS Feeds and moved. the problems cropped up from here. All the 23 users are unable to view their emails. How should i reset this so that i will get back to the same situation?.

      Search folders are virtual folders so Access definitely can't see them. What happened when you copied and pasted in Excel? You would need to use the full list view (turn off reading pane) and add the fields you need - to, from etc. Then sort or group in Excel.

    What about if I want a report on how many emails I receive on a daily basis.

    mean I get a report to a csv file or email showing how many emails I received for the previous day

      Outlook doesn't have any thing built in that does this - you need to use 3rd party software or a macro.

      Still not a problem :) Sent - Between - 8/21/2012 AND 9/11/2012

      The date won't adjust, making it less than useful as a filter. An Instant Search might be better.

    Thank you for the fast response Diane, I mistakenly said received what really meant was sent , the only options where within 7 week month etc, is was wondering if you could create your own parameter.

      Same basic method - use the Sent field instead of Received.

    Hi,
    Love this tip, but I would like to search on email receive between a certain time time period other than those options given. For example the last 10 days or 17 days.

    This is only good if the email is still saved somewhere. I want to know how many emails were received in our group mailbox yesterday. Many (or most) of them have already been either deleted or moved to personal folders on individual's computers. Based on my internet searches, a whole lot of people would like such a tool, but nobody seems to have one. IMHO it should be a standard feature of Exchange Server.

      There are reporting tools that can be used to get that information from Exchange. And yes, because the messages are deleted or moved, you'd need to get the raw data from the Exchange tracking logs.
