Two calendar display issues come up often in Outlook:

  • “My workday starts at 9:00 AM. Why does Outlook show my calendar starting at midnight?”
  • “My calendar looks cluttered, and appointments appear to overlap or share the same time slot.”

Check the Time Scale First

The first setting to check is the calendar time scale. Outlook tries to show your work hours, or the current time, first. If there is extra space in the window, it fills the remaining area with evening hours through midnight and then adds morning hours if room is still available.

If you use a 60-minute scale, Outlook will often show the day starting at midnight unless the calendar window is shorter. Switching to a 15- or 30-minute scale usually gives a clearer view of your workday.

Change the Time Scale

To adjust the scale, right-click the time scale on the calendar and choose a shorter interval. Shorter intervals make each hour appear larger and can make appointments easier to read. (You may need to switch to the inbox then back to the calendar to refresh the display. )

Why Appointments Appear to Overlap

Appointments may appear stacked or overlapping in Outlook when the time scale is longer than the appointment duration. For example, short meetings can look crowded when the calendar is set to 60-minute blocks. New Outlook and Outlook on the web handle this better than classic Outlook.

Outlook for Windows, Mac, and Web

Outlook for Mac, Classic Outlook, new Outlook, and Outlook on the web support time scales from 60 minutes down to 5 minutes. A 60-minute scale shows more of the day at once, while a 5-minute scale shows fewer hours but provides more detail. On a tall or high-resolution monitor, reducing the Outlook window size instead of using full-screen mode may also improve the display.

Legacy Outlook for Mac shows day and week views in 15- or 30-minute blocks and can display between 4 and 24 hours on screen. The 4-hour view uses larger blocks with 15-minute intervals, while the 24-hour view uses smaller blocks with 1 hour intervals and compresses the selected hours to fit the screen. If fewer than 24 hours are shown, the calendar starts at your working-hours start time.

Bottom Line

Use the 60-minute scale when you want to see more of the day at once. Use a shorter scale, such as 15 or 30 minutes, when appointments look overlapped or you need a more detailed view.
