Internet Mail Issues with Microsoft Outlook

We'll be adding more issues to this page for Outlook users who send and receive mail via the Internet, with links both to the Microsoft Knowledgebase (MSKB) and to other Slipstick articles.

Outlook 2002 adds support for HTTP (web-based) mail accounts, but so far works only with Hotmail and MSN and with Exchange Server 2000.

    Hotmail

    Outlook 2002 and later:

    Outlook 2002 and later versions include Hotmail support, but with some limitations. The chief limitation is that you can access only one Hotmail account per profile. For other issues, see:

  • Outlook 2002 also supports HTTP access to MSN accounts and mailboxes on Exchange 2000, but not to other HTTP mail servers. For Exchange 2000, use the same URL as for Outlook Web Access -- e.g.,  http://<myserver>/exchange/<mymailbox>/.

    IMAP Accounts

    Outlook 2002 drops the distinction between Internet Mail Only and Corporate/Workgroup modes, making it possible to connect to any combination of Internet accounts -- POP, HTTP, IMAP, etc. -- within a single profile and in combination with Exchange Server and other accounts.

    To purge deleted messages from an IMAP account, connect to the account with the File | Connect To <account> command, then choose Edit | Purge Deleted Messages. Outlook will not purge messages automatically.

    Outlook caches all IMAP data in a local .pst file, which cannot be used as your default information store. Also, Outlook provides no way to purge this cache, except by deleting the .pst file and starting over with a new one.

    As implemented natively in Outlook, IMAP folders support only message and post items, not Outlook's special contact, appointment, task, journal and sticky note items. However, InsightConnector makes it possible to use special Outlook items in IMAP folders. This component also allows you to use your IMAP folders as your default folders in Outlook, getting around the limitation described above.

    You can show any IMAP folder's unread messages total in the Outlook Today page. (Thanks to Tim Gortner on the outlook-users discussion list for the tip.)

    Outlook normally files items sent via an IMAP account file into the default Sent Items folder in the local Personal Folders .pst file. To have items file instead into a folder in the IMAP hierarchy, for Outlook 2000, you can use the Rules Wizard, as described in the article at OL2000 (IMO) How to Save Sent Items on an IMAP Server. For Outlook 2002, you will need SP2 to use that technique. Alternatively, you can use the UniSent COM add-in.
