Daily Calendar Time Display

I often hear two common complaints about the day and week views in the Outlook calendar:

  • “My day is set to start at 9:00 AM EST. Why does Outlook 365 show the day starting at midnight?”
  • “My calendar looks cluttered, with appointments that seem to overlap or appear in the same time slot.”

My first question is always: “What time scale are you using?” Outlook tries to show your work hours, or the current time, first. If there is extra room, it fills the available space with evening hours up to midnight, then adds morning hours if space allows.

Appointments may appear to overlap when your time scale is longer than the appointment duration, giving it a messy look.

If you use a 1-hour scale, the calendar will usually start at midnight unless the calendar window is short. Try switching to a 15- or 30-minute scale instead.
To adjust it, right-click on the time scale and choose a shorter interval. This makes each hour appear larger on the calendar.

Outlook for Mac, Outlook for Windows, including classic Outlook, new Outlook, and Outlook on the web, supports time scales from 60 minutes down to 5 minutes. With a 60-minute scale, you can usually see most of the day at once. With a 5-minute scale, you may see only about four hours at a time. If you have a tall or high-resolution monitor, another option is to avoid using Outlook in full-screen mode.

Legacy Outlook for Mac shows day and week views in 15- or 30-minute blocks and can display between 4 and 24 hours on screen. The 4-hour view uses larger blocks with 15-minute intervals, while the 24-hour view uses smaller blocks with 1 hour intervals and compresses the selected hours to fit the screen. If fewer than 24 hours are shown, the calendar starts at your working-hours start time.

Bottom line: the 60-minute scale shows more hours on screen, while the 5-minute scale shows fewer hours in greater detail. However, appointments are more likely to appear overlapped when using the 60-minute scale.

Microsoft 365 Business Mailboxes Are Increasing to 100 GB

Microsoft is upgrading eligible Microsoft 365 Business mailboxes from 50 GB to 100 GB. The rollout began in June and is expected to reach eligible Business accounts by the end of September.

The affected subscriptions are:
• Microsoft 365 Business Basic
• Microsoft 365 Business Standard
• Microsoft 365 Business Premium

Some of my clients already have the larger mailboxes, while others are still waiting for the update.

Only these Business subscriptions are included. Enterprise plans with 50 GB mailboxes, such as Exchange Online Plan 1, are not affected. Other Enterprise plans already included 100 GB mailbox quotas.

Classic Outlook theme for the new Outlook for Windows

To encourage more people to move from classic Outlook to the new Outlook, Microsoft is adding an optional setting in the new Outlook for Windows and Outlook on the web that makes the interface more closely resemble classic Outlook.

Microsoft appears to believe that a familiar look will make the transition easier. Familiarity can help users adapt to new software, but matching the appearance alone is unlikely to persuade power users to switch until the new Outlook includes more of the features they rely on.

The change will roll out over the next three months and will be available in the new Outlook under File > Settings > General > Appearance. The setting affects visual styling, layout, typography, icons, and some interactions. It is not available in my accounts yet, so I cannot say exactly how it works.

For most users, Microsoft will leave the setting turned off, though it may enable it automatically for a small percentage of users. Microsoft often does this to draw attention to a feature, encourage discussion, and prompt others to try it.

I don't yet know whether Outlook.com users will have the same option or whether it will be limited to business and enterprise subscribers.

Coming soon: Change the organizer of a meeting

This feature is expected to begin rolling out in September. It will let organizers transfer meeting ownership to another user, who must accept the change to complete the transfer.

If an organizer is leaving the company, they must transfer ownership before they leave. For now, each meeting must be changed individually; bulk changes are not supported.

This feature will be available in new Outlook, Outlook on the web, and Teams, but it will not be added to classic Outlook.
