Using Automatic replies (out-of-office) with POP or IMAP
We are often asked how to create an "out of office" message for accounts not using a Microsoft Exchange server.
This is possible using a rule that replies using a specific template, however, if you need an out of office response and your mail server supports a ‘vacation reply’ option, its generally better use it, as the response will be sent when the message arrives in your mailbox, not when Outlook downloads the message.
To use a rule in Outlook, create the template by typing your response in a new message in Outlook then save it as a template. After you save the template, create a rule to reply using a template and select your template.
When you use a rule, you will only reply to email after Outlook downloads mail. This means you need to leave your computer turned on and Outlook needs to connect to the Internet regularly to check for new mail. For this reason, it’s often easier and safer to set up an automatic reply on your mail server, if your server supports it. Fortunately, many servers do support automatic replies.
When you use a template, Outlook only replies once to an address until Outlook is restarted. If you need to send replies to every message from a sender, you’ll need to use a run a script rule, as it will send a reply with every message that meets the condition of the rule. Automatic Replies in Outlook.com
With Outlook.com now hosted on Exchange server, it’s no longer necessary to use rules as Automatic Replies are available. Outlook.com accounts have the same automatic replies (out of office) options available to Office 365 and Exchange accounts. Automatic replies can be set up to start and end at a specific time and you can use automatic Reply Rules for additional control.
To set up automatic replies with an Outlook.com account, go to File, Automatic replies. In Outlook on the web, look in Options, under Mail, Automatic Processing. Outlook on the web doesn’t have the option to create automatic reply rules but can decline or cancel meeting requests.
View Shared Calendar Colors
An administrator had a question from users: The users assign categories to appointments and share their calendars with other users, but many of the other users can’t see the category colors, only the category name, not the color the calendar owner set. How do we fix this?
This is a permissions issue. If the other users have the correct permissions on the calendar, they will be able to see the category colors. If they have the same category name in their category list, the appointments may use the color from their category list.
Only users who have Reviewer level or better permissions on the calendar will see the owner’s category colors. To check the permissions, right click on the calendar (in the owner’s mailbox) and choose Properties, then Permissions. If you are setting the permissions in Outlook on the web, choose 'Can view all details' or 'Can edit'. For more information, see: Outlook Categories and Color Categories: Categories in Shared Folders
