Bulk Move or Delete in Outlook
A user asked: “Is there an easy way of deleting old emails on the Outlook app rather than having to select and delete them individually?”
It depends on which Outlook app you are using and by the question, it is not classic Outlook for Windows desktop or Outlook for Mac In both of those applications, you can select all and move or delete. There are no restrictions.
In the mobile apps, no, you can’t bulk more or delete.
In Outlook on the web and new Outlook for Windows, if you have more than 50 messages to delete, you need to select all but the last message in the folder or search results to move or delete the selected messages.
Note: In Outlook on the web (and new Outlook), you are limited to deleting 10 contacts at a time. If you have a lot of contacts and need to delete all, add the account to Outlook for Windows. Once it finishes syncing, you can select all and delete. (If you don’t have Outlook 2013 or newer, use the Microsoft 365 trial – and don't forget to cancel the trial.)
Tip 1: Select the first message and scroll down then hold Shift when you click on a message. This will select all messages between the first and last.
Tip 2: An update to Outlook on the web and new Outlook hides the ‘select all’ button next to the folder name at the top of the message list. It will come into view when you click on a message.
Adding iCloud Calendar and Contacts to New Outlook
An Outlook user decided to try the new Outlook. His accounts migrated over but not his iCloud calendar and contacts were not available in the new Outlook.
This is because he was using the iCloud add-in in Outlook but not the iCloud email. He needs to add the iCloud account to new Outlook and they will sync.
If the iCloud address is not an iCloud address (including mac.com and me.com), you will need to create an icloud.com alias for the account.
To create an iCloud alias:
1. Log into iCloud.com and open Mail ( https://www.icloud.com/mail/ )
2. Click the gear icon at the top left of the window.
3. Click Settings, then Account.
4. Click in the Add Alias field and create an alias.
Use this alias to sign into new Outlook.
Add Shared Mailboxes to New Outlook
Users with a Microsoft 365 Work or School account can open a shared mailbox in the new Outlook for Windows:
1. Right click on the “Shared with me” folder in the folder list
2. Select “Add shared folder or mailbox” then type in the mailbox name.
To remove the shared folder from the list:
1. Right click on the mailbox name
2. Click Remove shared folder”
If the mailbox has automapping enabled, you can’t remove it from new Outlook. The admin will need to change auto mapping to false.
