Email a list of upcoming appointments

A visitor to Slipstick.com wanted to create a macro that would send his upcoming appointments:

1. Each night at 9:00 pm, email me a snapshot of my calendar for the next day
2. Each Sunday at 9:00 pm, also email me a snapshot of my calendar for the upcoming week (Mon-Sun).

Is this possible, and what is the degree of difficulty?

This is actually fairly easy and you have your choice of pretty formatting (using Outlook’s built-in Email Calendar function) or a simple but functional list. The simple list is not pretty but you can dress it up using .HTMLBody and HTML tags (which is a bit more difficult, if only because it’s harder to read the code). To run the macro automatically, you can use a reminder – when the reminder fires, a macro runs the macro that creates the agenda.

As with all macros, Outlook needs to be running for the macro to work.

Get the code samples at Use VBA to Email Tomorrow's Agenda and Send an Email When a Reminder Fires

Tip: If you use Office 365 Exchange, you can receive text notifications containing your agenda (and reminders for each appointment, if desired). Set it up in Outlook on the web, under Calendar Options.

Responses will not be tallied

A small organization wanted to use a master calendar, shared by all employees, for all appointments and asked about an “error” message they received when they sent meetings from the calendar:

“The meeting is not in the Calendar folder for this account. Responses will not be tallied.”

This is the standard warning message when the meeting is not on your default calendar. If you send it, the responses will not automatically update the tracking. Why? Because when Outlook processes the responses, it only looks for the event in your default calendar.

In order for the responses to be automatically processed, you’ll need to add the meeting to your own calendar.

If you want to use a non-default calendar, you can either send it from your calendar and copy the event to the other calendar as a placeholder or manually update the event on the shared calendar as you receive the responses. (Yes, Tracking is editable!) If the calendar is in a shared mailbox, Group, or Public folder (enabled for email), you can invite the mailbox or calendar to the meeting.

View Outlook app's calendar in monthly view?

A user wanted to know how to view the calendar in the Outlook app on their smartphone in a monthly view. While it doesn’t have a traditional full month view, it has day, week, and agenda views, with 2 weeks at the top of the agenda or day view.

To see a 5 week calendar, pull the last row of the calendar down; select a date to see the events for that day (or beginning that day). This setting will hold until you restart the app (or shrink it by pushing the edge up).
