Separate the Send/Receive functions
A user wanted to know if it was possible to do separate send and receive:
Can the Outlook "Send/Receive" processes be separated, so that you can "Send" without automatically triggering a "receive" and/or do a "Receive" without an automatic "Send"?
His reasoning is that separating the two functions would give someone the ability to do an automated "Receive", while holding outgoing items, such as large emails, until later. It would also help someone who needs to send messages but delay receiving mail, such as to avoid distractions.
Outlook has several options. You can disable the automatic send and receive and use Send all (Send & Receive tab) to send messages and F9 to trigger a manual send and receive. Yes, that’s only halfway there, but it is an option.
If you need to separate them completely, use Send & Receive groups. You’ll need one group with send disabled and could use the Send all command to send at any time or copy the group and enable send in it, but not receive.
- Open the Define Send/ Receive Groups dialog using Ctrl+Alt+S.
- Select the All Accounts groups and remove the checks from the settings at the bottom of the dialog.
- Copy the default Send & Receive group
Select the group and adjust the settings at the bottom of the dialog as desired. - With the copy selected, click Edit.
- Remove the check from Send mail items (for each account) and click Ok.
- Repeat for a send-only group, unchecking Receive mail items and enabling Send mail items.
To send or receive mail using these groups, select the group in h the Send/Receive tab, Send/Receive Groups menu. The keyboard shortcut is Alt+S,G, number.

Create a No-Mail account in Outlook 2016
Recent builds of Outlook 2016 removed the ability to create “no mail” profiles during profile creation. To create a no mail profile, you need to create a profile with an email account in it then delete the account. This ability is in the process of being restored, coming first to the Insider builds.
If you want to use Outlook 2016 as a personal information manager without an email account currently you need to:
- Click Add Profile and create a profile using an email account.
- After adding the account, open Properties and click Data Files.
- Add a Personal Folder data file. and set it as the default
- Switch to the Email tab and delete the email account.
Note: you may need to start Outlook using the new profile before you can add a pst file. If so, add the pst file in File, Account Settings, Data Files then delete the email account.
In the current Insider build and coming to all builds soon, you’ll be able to use a command line switch, /PIM, to start Outlook with a new, no mail, profile: Press Windows key + R to open the Run command, then type (or paste) Outlook.exe /PIM "profilename"
and then click OK.
This creates a profile with a new Outlook data file; if you want to use an existing data file, add it to the profile after Outlook opens. Go to File, Account Settings, Data Files tab and add the existing data file. Set it as default and remove the one Outlook created. Note: you may need to restart Outlook before you can remove the one data file.
