Autoreplying to Spammers

A lot of users ask how to delete email from certain recipients and send an autoreply to them, telling them the message was deleted unread. While it is possible to do this, it’s a really bad idea.

If the address belongs to someone you don't want to be in contact with, reply to the sender and ask them to stop sending you email. Or just delete the message and forgot about it. This method works best with former coworkers, family members, etc.

If it’s from a company and you can't get unsubscribed from their mailing list, reply and ask to be removed then set up a rule to delete the messages and forget about it.

When the sender is a spammer, just delete the message and go on. If you send an autoreply one of two things will happen: you'll get an NDR back or you'll confirm you address is valid and end up with a lot more spam. Since most spammers use fake from addresses, you don't have to worry too much about confirming your address. It is also mostly useless to add spammers to your blocked senders list as their addresses keep changing.

Bottom line: delete the messages with a rule and forget about it.

Outlook 2007 and the Missing Outlook:// Protocol

As many users have discovered, the Outlook:// protocol does not work outside of Outlook 2007. You can use this protocol on a folder home page, on the Web toolbar, or in the body of an Outlook item but not in a web page that does not open in a folder homepage.

This is because the Office 2007 installer does not register Outlook 2007 to a URL protocol for security reasons. Fortunately, Outlook 2007 still supports it but to use it, you will need to add it as a URL protocol in the Windows Registry.

Exchange 2007, Outlook 2003 and Meeting Request Forwards

A reader has this question "I have a small number of users who, when they receive an email notification that a meeting request they sent has been forwarded to another user, Outlook crashes. We are using Exchange 2007 and Outlook 2003."

A new feature in Exchange 2007 will deliver a notification to the meeting organizer when the meeting is forwarded by an attendee to someone else. It's a really nice feature unless you're the organizer and still using Outlook 2003. When Outlook 2003 tries to render the New Mail Desktop Alert for the Meeting Forward Notification message Outlook crashes.

One solution is to install Office 2003 SP3. If that is not possible, disable the New Mail Desktop Alert. Do this by going to Tools, Options, Preferences tab and clicking the Email Options button, then Advanced E-mail Options button. Uncheck the box next to Display a New Mail Desktop Alert.

Or you could configure the content filter in your antivirus application to filter out messages with "Meeting Forward Notifications" in the subject line, removing them from the message stream.

Finally, administrators can run a cmdlet in the EMS that will move the meeting forward notifications to the organizer's Deleted Item folder after they are processed by the calendar attendant. The cmdlet to change the setting for all the mailboxes is:

Outlook Quick Tip: Sync Live Mail "Categories"

I've had a few questions about categories in Office Live Mail accounts not syncing to Outlook using the Outlook connector. This isn't a problem with Outlook or the connector but rather with the use of the term "Category" in Hotmail/Live accounts.

What Hotmail/Live calls "Categories", Outlook knows as Distribution lists. The connector will sync the "category" into Outlook as a distribution list name but it does not sync the members, leaving you with an empty distribution list. Importing DLs has always been buggy and members rarely made it through the import so this comes as no surprise.

Distribution lists created in Outlook will correctly sync to the Live account, adding the DL members to your online contacts if the contact does not exist, and creating the "Category" containing those addresses.

Solution: Create distribution lists in Outlook and let the connector sync them to the server.
