Disclaimer & Signature Tools for Exchange Server

These add-ins, mostly for Microsoft Exchange Server, add disclaimers and signatures to outgoing messages.

    Adolsign   Adolsign is a tool to create AD-aware Outlook signature files. Adolsign can scan signature templates in html, rtf or plain text format, replace scan codes with equivalent fields in Active Directory and places processed templates into Outlook's signature directory. It now offers vCard support and multiple signatures via domain group membership specified in the configuration file. It is a command line based utility, making deployment easy via login/startup scripts or software distribution systems. Version 1.6
    AgilityXP Desktop Edition   Outlook add-in for maintaining a corporate look-and-feel, including layout and disclaimers, in email messages with templates managed from a centralized server.
    CodeTwo Exchange Rules   CodeTwo Exchange Rules software enables easy and central defining of disclaimers added to all e-mails sent via Microsoft Exchange server. Use Exchange Rules to add different disclaimers depending on a message sender's address or domain to e-mails, to add personalized disclaimers containing sender's data available in the Active Directory database to e-mails. New features include the abiliy to insert images into disclaimers and insert the disclaimer directly under the response text in replies and forwarded messages. Free trial. Exchange 2000/2003 only.

    eXclaimer   Add a generic company-wide disclaimer or build user-specific signatures with data from Active Director. For Exchange 2000. Also provides monitoring of messages by selected user, group, domain or email address by routing them to a specific mailbox.
    GFI MailEssentials for Exchange   Anti-spam, disclaimers (with variables), archiving Internet mail, Internet mail usage reports. Includes a POP downloader and personalized server-based autoreplies that can include attachments and tracking numbers. Can archive to an ODBC database.
    Internet Mail Service Extension DLL   Tool in the BackOffice Resource Kit for Exchange Server 5.5 to add disclaimers and journal messages to and from specific users. The April 2000 issue of Exchange Administrator has some good instructions. Also see:

  • There is no equivalent of the Imsext.dll for Exchange 2000. It is not really needed since Exchange 2000 supports synchronous event sinks that allow you to write your own code to work with incoming or outgoing messages. Does not require software installation or changes to servers or workstations. Easy deployment via logon script or Active Directory. Signatures visible to users in both Outlook and Outlook Web Access. Built-in editor for designing HTML, RTF and Plain Text signature and disclaimer templates. Now includes a disclaimer module to make it easy to include the same disclaimer with multiple different signatures, and a campaign module to include scheduled news, marketing or special offers in signatures. Supports Outlook stationery. Free evaluation version. Fully compatible with Outlook 2007, OWA 2007 and Exchange 2007.
    MailFender   MailFender provides server-based content filtering, anti-virus and anti-spam protection for your Exchange 2000/2003 Server. Key features include a server based anti-virus protection powered by Sophos Antivirus. MailFender uses a variety of methods to protect your server against spam, including a learning algorithm, can detect up to 95% of spam. Content filtering features include the ability to add commercial and legal disclaimers, check for unacceptable language, strip attachments, run scripts and more. The administrator program allows you to configure your security policy using a user friendly administrator program.
    MailMarshal   Content scanner for Exchange Server; features include virus blocking (with third-party anti-virus products), relay blocking, disclaimers, usage reports. Free trial available.
    mxclaim   Exchange 2000 addin for appending disclaimers to outgoing messages, with an option for separate disclaimers on plain text and HTML messages.
    Ninja Disclaimers   A plug-in for Ninja Email Security, Ninja disclaimer provides includes global and user-based disclaimers for all outbound email for Exchange 2000 and 2003. Administrators have the ability to configure policy-based disclaimers based on specific users, groups, domains, or public folders. User-based disclaimers enable users to adjust their disclaimer statements according to a specific user or department. Ninja also prevents multiple disclaimers when replying or forwarding and gives administrators the ability to allow users to bypass the disclaimer on a per email basis. Disclaimer templates are included to allow easy set up of disclaimers using HTML or plain text. Template samples include legal disclaimers, virus warning disclaimers, copyright disclaimers, and more. New reports are also available that provide detailed information on the use of disclaimers within the organization.
    OpusFlow Disclaimer for Outlook   Client-based disclaimer tool that adds standard text, including optional logo, to each outgoing message. It has a configuration editor that makes it a breeze to configure and preview the emails that will be sent with the product installed. You can display the active directory fields and drag & drop them into the configuration and preview the result. In an Exchange environment, can read data from the GAL into the signature, and supports reading most fields in the active directory or exchange directory. Personal version is free but unsupported. Company version uses a central settings file to enforce company-specific information and combine that with personal information to create a signature with a standard layout. Version 3.31. Formerly known as OutlookDisclaimer.
    Policy Patrol Disclaimers   Personalized email disclaimers and signatures for Exchange 5.5, 2000 and 2003. Supports formatting, merge fields and multiple disclaimers in each message. Distinguishes between internal and external messages, using different disclaimers for each. Avoids multiple disclaimers on replies and forwards and can position a signature or disclaimer after the last entered message text. Can be configured to send blind copies to a designated mailbox, in part to prove that disclaimers were sent.
    Rsoutlook Disclaimer   RsOutlook Disclaimer automatically inserts disclaimers in all outgoing email. You don't need Exchange Server since this is a Microsoft Outlook based tool.
    SMTP Disclaimer   Adds disclaimer or other notice to the bottom of outgoing mail messages. Works with Exchange 2000 or the SMTP service included with IIS 5.0
