Calendars aren’t printing in color
People who print calendars discovered that Outlook is no longer printing colors by default. This is caused by a change in the print options in the recent update.
The default Print Option is to use gray shading. This is not new – Print using gray shading has been the default since at least Outlook 2007. But in older versions and builds, gray shading applied to header areas, not category colors. The recent update changed this behavior and category colors are not printed in color when 'print using gray shading' is enabled.
Oddly, some colors do print with gray shading enabled, including the background colors for events spanning more than one day and events marked busy will have a purple icon on the Agenda style.
To print category colors, you need to deselect Print using gray shading.
- In File, Print, select Print Options
- Select Page Setup
- Untick Print using gray shading.
- Close the dialogs and print.
You'll need to change this setting for each calendar style you use. If you delete the OutlPrnt file to fix printing problems, the calendar will be set to print in gray scale again.

Replicate GTD: Create a task after sending a message
In a discussion about the now-discontinued Getting Things Done Outlook addin in Outlook Forums, John had this comment:
Another function of GTDOA that I will really miss is being able to simultaneously reply to an email message, create a task or appointment, and have that email reply linked to the task or appointment. There is an obvious work-around for this - 1. send my email message, 2. go to my send directory and open it, 3. press "forward" or "reply" 4. CTRL+A to "copy all" of this email 5. close out 6. start a task/appoint and paste into it. *Whew* that is a lot of work! I question if there is an easy way to automate this process.
If you can use a macro, you can use a macro to automate it. I have a macro that comes close at Automatically create a task when sending a message, but it doesn't add a link to the message. It adds the recipient addresses and the message body to the task, but HTML formatted messages will be copied to the task as text.
With just a few changes, we can copy the sent message body to the task body as formatted text, including the reply header, and insert a link to the original message. If you prefer to create appointments instead of tasks, use find and replace Task with Appointment.

Outlook’s Large Summary Cards
A new feature was added to Outlook.com and Office 365 mailboxes a couple of years ago: The server picks up information from email confirmations for flights, hotel, and package delivery services etc and creates a calendar appointment for the event. The email confirmation displays a large summary card at the top. A very large summary card. Large enough that it blocks much of the actual email for many users.
In Outlook for Windows, the summary card pane can be minimized by clicking the V on the lower right edge of the card but the pane is not resizable on the Mac version (the pane is a pain!).
If you don’t want these types of events added to your calendar, you can disable it in Outlook on the web, in Calendar options, under Events from email. This setting doesn’t appear to affect summary cards.
