PDF Preview Handler for Outlook 2007

One of my favorite Outlook 2007 features is attachment preview. I get a fair number of Word documents, PDF files, and images, plus an occasional Excel workbook, by email. In nearly every case, I don't need to edit the content, just review it and viewing it within Outlook's reading pane is easier and more efficient. Since the beta I've been waiting for a genius to release an Adobe PDF preview handler for Outlook… and now we have it, thanks to Ryan Gregg. This preview handler works with Outlook 2007 in both Windows XP and Vista and in Vista's Windows Explorer.

Have Foxit Reader instead of Adobe Reader? Tim Heuer released a preview handler several weeks ago. As of now, it only works with Vista (and Outlook 2007 installed in Vista). Tim also wrote a code preview handler for .cs, .vb, .sql, .js files and has links to preview handler resources, for those who'd like to learn to write their own.

Have something say about Outlook's POP3 or IMAP handling?

While we're talking about Ryan, he's working on the "Internet mail experience" in the next version of Outlook and would like to hear about your experiences using Internet mail account types (POP and IMAP) in Outlook.

Even if you don't have complaints about (or kudos for) the POP3 or IMAP capabilities of Outlook or prefer not to post them on his blog, the comments others have posted are interesting to read.

Keep Responses in the Inbox

This week I’ll answer a few questions that come up on the newsgroups occasionally.

Question #1:
Annie wants to know "Is there a way to keep meeting requests in the Inbox after they are responded to? Currently once a meeting is declined, it is sent to the deleted items folder and if accepted it goes to the calendar. If the user declines a meeting request and later learns they are available they would like have the message in the Inbox."

Sure. Go to Tools, Options, E-mail options, Advanced E-mail Options and remove the checkmark from "Delete meeting request from Inbox when responding".

Block Embedded Images

Question #2:
"In Outlook 2007, when spam in the Junk E-mail folder is viewed with the reading pane there are certain types of objects that aren't displayed - like those graphics that tell you what great stock to buy. When those same messages are moved to another folder the graphics are displayed in the reading pane. How can I set up other folders so they have the same security feature as the Junk E-mail folder?"

In the case of these images, you can't unless you want to read all of your email in plain text. Outlook 2003 (with current updates installed) and Outlook 2007 block downloaded content (enabled by default) but not embedded images. The spammers know it's harder to block these types of messages and Microsoft knows many users don't like to see the images, so they made the junk email folder enabled for plain text only.

Believe it or not, I see a fair number of complaints about the junk mail folder being plain text only and with disabled URLs. Yes, it is a pain to move false positives out to read them or click on links, but I see way too many users click on links accidently that it's worth my hassle to make them take the extra step of moving the message or copying a URL when the message really isn't spam. If you don't like the extra steps, its better to add senders to the safe list to keep messages out of the junk email folder than to disable its protection. I know, the junk filter is great for filtering bulk mail out of the Inbox (I use this technique too), but if the message isn't junk don't complain if some features are disabled. Since it's hard to find the messages if I move them back to my Inbox, I created a Not Junk folder to move these messages to if I need to view it without restrictions.

Outlook 2007: It's in the Trust Center. Tools, Trust Center, Email Security, Read all mail in plain text.
If you choose this option you can render any HTML message with one click in the Info Bar.

Send to "undisclosed recipients"

Question#3:
A common question on mailing is how to create a group or distribution list in Outlook that lists the distribution list name or "undisclosed recipients" in the To field, as some other email clients do.

"Is it possible, using Outlook, to create a group(called All) of "send to" email addresses and have the header arrive at each location looking like this:

Subject: Look at this

Without listing the individuals name in the To: slot, just All@slipstick.com. I know it can be done, because other people send them to me. When I set up a group and sent it, it arrives with each persons name in the To: slot. What am I doing wrong? "

Sure, you can do it, sort of. Outlook doesn't handle it quite as well as some other email clients, but it is possible. You'll need to use an address you have control over as the "all@slipstick.com" address. Create a contact with this address. You can use your name, the DL name, or 'undisclosed recipients' as the display name. Use this contact in the TO field and put your DL in the BCC field.

If you really want just the recipient’s address in the To: field, you'll need to do a mail merge to email.

Note: You could just put the DL in the BCC field, but many anti-spam programs flag messages with no To field as spam, so putting your address or one you own is better.
