Delete Folders from Deleted Items
A user deleted a lot of folders and wanted to know how to remove them from the Deleted Items folder.
It’s simple. Select the folder and press the Delete key. This can be time consuming if you use Outlook on the Web or new Outlook as you need to do it one folder at a time.
If you use classic Outlook, right click on the Deleted Items folder and choose Empty folder to remove the subfolders along with deleted mail. They may appear to come back temporarily, especially if you use an IMAP account, but be patient and they will disappear again when Outlook finishes syncing the folder.
If you have calendar or contacts folders to delete, switch to the Folder list module to delete them
Use Ctrl+6 to open the Folder list pane if the buttons are on the bottom. If your Outlook navigation buttons are in a vertical bar on the left, click the bottom icon in the vertical bar and choose Folder.
To switch back to the Mail pane, click the Mail button or use the keyboard shortcut Ctrl+1.
Out of Office Indicator Bar Changes
Microsoft is updating the indicator for out of office messages in Outlook to have an X pattern, rather than solid. This pattern is used in classic Outlook, new Outlook, Outlook on the web, Outlook mobile. The indicator is expected to remain purple color.
However, users with Outlook 2016 or Outlook 2019 may see the bar the same color as the calendar or category, if a category is assigned.
Until this is fixed, affected users can revert to build 2402.
How to roll back to 2402:
1. Disable updates in Outlook or it will be reinstalled overnight.
2. Start typing cmd on the Start screen or in the task bar search field to find the Command Prompt then click Run as Administrator
3. Paste the command line in and press enter.
4. "C:\Program Files\Common Files\microsoft shared\ClickToRun\officec2rclient.exe" /update user updatetoversion=16.0.17328.20184
The correct, unadulterated command line is in my article at Uninstall Updates in Office 'Click to Run'
Except for the colors in Outlook 2016 and Outlook 2019, I like the new pattern.
Links blocked in Outlook.com Junk Email
In a welcome change (at least for security conscience users), Microsoft is now blocking links messages in Junk Email folder in Outlook on the web.
If you click a link (not recommended if the message is spam), a message will come up for you to approve opening the link:
“To help protect your personal information, links and other functionality in this message will not work automatically in the Junk Email folder. Please confirm if you want to visit the link.”
Or you can move the message out of the junk email folder. Yes, it’s an extra step but you should not be clicking links in spam. If the message is not spam, add the sender to the safe list so future messages don’t go into the Junk Email folder.
Show or Hide Calendar and Contacts in Outlook Mobile
One frequent complaint I hear from users is they have duplicate appointments and contacts on their mobile device. They ask for advice in removing the duplicates.
While sometimes there really are duplicates, the other cause is having multiple calendar or contacts folders, each with the same events, syncing with the device.
The first step: check the settings menu and turn it off or uncheck the display of all but your main calendar or contact folders. If you are showing only one folder and still have duplicates, you need to clean up the folder.
Most mobile calendar apps use a colored dot or other indicator to show the events are on different calendars. To see the calendar list, click the menu button – usually in the upper left. In Apple’s Calendar app, click the word Calendar at the bottom of the screen.
