Manually add POP or IMAP accounts to Outlook
The Outlook product team tries to make adding account as fool-proof as possible. While this is good for most users, if you need to customize your account set up, choosing “Let me set up my account manually” should let you review the server settings. But it doesn't.
The problem came up twice this week with users who wanted to add their account as POP and use an existing PST file.
The users entered their address, clicked Advanced Options and checked “Let me set up my account manually”, then Connect. On the next screen, select POP and Outlook immediately asked for the account password and added the account to the profile. The users did not have the chance to review settings or choose an existing PST file.
While this works fine for many users who just want to use POP instead of IMAP or Microsoft Exchange or IMAP instead of Microsoft Exchange, it’s not helpful if you want to send using a different server or use an existing PST with a POP account.
The solution is fairly simple:
When you are asked for the password, type in an incorrect password, cancel the Internet Email password dialog then click Change Account Settings. This brings up the dialog with the server names, port numbers, and the option to use an existing PST file.
If you forget to enter the wrong password, you can change the data file in the Account Settings dialog and change servers in File > Account Settings > Server Settings.
There is a third option but it's not my favorite because it’s completely manual setup (you need to type in the server names and settings): Add the account using the Mail Setup applet. Within Outlook: File > Account Settings > Manage Profiles or open Control Panel and search for Mail (Microsoft Outlook). This uses the old Account Settings dialog many Outlook users are familiar with.

Teams Meeting Addin in Outlook
With the addition of Teams to Outlook.com and the Teams Personal app in Windows 11, I’ve had a lot of questions from users who are trying to use the Outlook Teams addin to create meetings but they receive an error message: “Sorry, you need to sign out of Teams and sign in again before you can schedule your meeting”.
This error is triggered when you try to use the addin with a Teams personal account available in Outlook.com or a free Teams account. The addin only works with work or school accounts hosted on the Office 365 business side.
To create a Teams meeting in an Outlook.com account, you need to create the meeting in Teams app or online at teams.live.com. The meeting will sync to your Outlook.com calendar. (Outlook.com on the web’s Calendar currently only supports creating Skype meetings.)
While you should be able to send the meeting from Teams Personal app, if for some reason the meeting can’t be sent, copy the meeting details and paste into an email to send. Or save the meeting in Teams then open the appointment in Outlook and add the attendees (click Invite Attendees).
Sharing a PST with Outlook 2010 and 2021?
A user has several computers with Outlook 2010 installed and is getting a new computer with Office 2021. He asked me if the PST files are compatible between version and if he would have problems copying the PST file back and forth between the old computers and the new one.
Yes, the PST files are compatible between versions. You won’t have problems copying between the computers. Even the old, old ANSI format PST (not used by default since Outlook 2002) can be opened in Outlook 2021 (or any other Outlook version), but its recommended to export it to a new PST file.
Two versions of Office on one computer?
Another user is upgrading to the new Office but wants to keep Outlook 2010 installed for the time being and had a few questions. While he is asking specifically about Office 2021, the answers apply to Office 2019 and Office 365 too.
1. Will I be able to keep and use both Outlook 2010 and Outlook 2021?
Yes, you can. Outlook 2010 is an MSI install, while Outlook 2021 is click-to-run, so you can have both installed. (You can't have two click to run versions installed, or two MSI versions.)
You can’t open both Outlook’s at the same time. They will each have their own profile but if you use PST files, they will be shared with both profile. When you install Office 2021 and open Outlook for the first time, the Outlook 2010 profile will be migrated to Outlook 2021. The profile is stored in a separate registry key, so you can have different accounts in each profile. (Office 2016 and newer all use the same registry path.)
2. How do I export / transfer my settings and customizations, signatures, and email accounts?
You won’t need to do anything for the email accounts. Outlook will migrate the profile. Both Outlook’s use the same Signature folder and the signature assignments should migrate with the profile. If not, you will need to reassign them in the Signatures dialog.
Most settings and customizations should be copied to the Office 16 path in the registry.
There might be a few things you will need to tweak, due to changes in the programs but almost everything will migrate to a new profile. If you are using an Exchange account or PST files, you’ll have the same rules and views in both Outlooks.
3. Will I be able to add OAuth2 to existing Gmail accounts once they are imported or will I need to create them again from scratch?
If you are using an app password in Outlook 2010, when the accounts are migrated, you should be asked for the password and second factor.
4. Can I use the same PST files?
Yes, you can.
