Send Email to people who didn't respond to meeting request
An Outlook user wanted to know if there was an easy way to send a message to people who have not yet responded to a meeting request. Right now, he is copying addresses from the Tracking tab.
Although he did not say if he'd copying one address at a time, I would use Copy Status to Clipboard then paste into notepad or a new message body. Drag the names to the To field. You'll need to add a semicolon separator between names, but Outlook will resolve the names to your contacts.
Outlook doesn't have an option to send just to the people who have not responded, but you can use a macro to send a message only to those people who haven't responded (or to only those who've accepted the meeting invitation). MacOS:Export Contacts to Outlook
Outlook for Mac has very limited import/export options and while there is no direct way to export contacts from the Apple app and import into Outlook for Mac, you can transfer them using vCard.
- Open the Contacts app and select the contacts you want to move into Outlook.
- Go to File > Export > Export vCard. If you prefer using the right-click, you can select the contacts then right-click and choose Export. You can also drag and drop the selected contacts to your desktop.
- Open the People (Contacts) module in Outlook.
- Drag and drop the vCard (.vcf) on the Contacts folder in the folder list.
Requiring 8.3 filenames for Outlook signatures
Although "You've chosen to save this Web page using short file names. The name needs to be eight characters or less." is an obscure error in Outlook and Word, it's worth mentioning, if only because the few times it comes up each year, no one seems to know how to fix it.
In Outlook, you'll might see this error when you save a new signature. It will come up when you save an HTML file in Word.
The cause: "Use long file names whenever possible" is unchecked in Word's Options. Look for it in File > Options > Advanced > Web options button > files tab. The options for “Use long file names whenever possible” is not checked. You'll need to restart Outlook. This setting applies to both Outlook and Word.
Years ago, it was fairly common to make changes to the Web Settings, because the settings applied to email. Now most users don't know the options even exist.
Repositioning Outlook’s Clipboard
Following a recent update, users discovered they could no longer reposition or resize Outlook’s clipboard and have it “stick”. When they send the message or close Outlook, the clipboard reverts to a narrow panel on the left.
When you move or resize the clipboard in Word, it stays in the new position.
To display the clipboard in Word or Outlook, click on the expander icon to the right of the word Clipboard in the ribbon. This opens the clipboard bane pinned to the left. You can drag the edge to make it wider, grab the title bar area and drag it to the right to dock on the right edge or leave it free floating.
Disable Animated GIFs in Outlook
After many years of user complaints, Office 365 subscribers can insert animated GIFs in email and they’ll actually play. Older versions and the retail version of Outlook 2016/2019 will display the first frame of the animated gif.
If you don’t want to play the gif, disable it in Window’s Settings > Display > Show animations in Windows. You can start typing animations on the start menu, open Show animations in Windows when it comes up.
Some users may have an option to play animated GIFs in Outlook’s Options: File > Options > Advanced > Display > Play animated GIFs
