Now that summer is over, Exchange Messaging Outlook is back on a weekly schedule (until my Christmas break in mid-December).
Custom Notifications and Reminders in New Outlook
The latest update to new Outlook adds the ability to add custom reminder sounds for new email and reminders.
To change the reminder or notification sounds, you need to open View settings > General > Notifications. Notifications need to be enabled as well as Allow notifications to play sounds.
To change the sound for new mail, expand the Mail section then select Custom from the Play sound menu. This will open the file picker window to the Documents folder. Find and select the sound you want it to play.
If you want to change the calendar reminders, expand the Calendar section and choose Custom in the play sound menu.
Don't forget to save the changes before closing the dialog.
I need to find new custom sounds… I'm using a bird song for new mail and crickets for reminders. I use the same sounds for the ringer and text messages on my iPhone and instinctively look for the phone when new mail arrives.
Jump to in New Outlook
A second new feature in new Outlook is Jump to. It’s the arrow icon to the left of filter button. What you see on the Jump to button depends on your sort order (the up and down arrow icon on the right)
When you sort by date, you can jump to yesterday, last week, month or year or select a date. Sorting by category will result in a list of your categories on the Jump list.
If you are sorting by From, you’ll type in the sender’s name. You can also type just a letter to jump to the first sender beginning with that letter. Sorting by subject works the same way. Type the first letter of a subject to jump to the subject that begin with that letter. It's an extra step or two compared to classic Outlook (where you can type a letter in the message list to jump) but it's a definite improvement.
Recalling Sent Messages
A user wanted to know if he could recall messages a hacker sent from his account.
No, sorry, you cannot recall the messages. Most of the messages likely went to the recipient’s junk email folder or were blocked by their host’s anti-spam filters.
While Outlook (classic and new) has a message recall option, you can only recall messages sent to other members of your Exchange organization. For Outlook.com accounts, you are the only member of your organization, so recall won’t work.
Recall is not currently supported in the mobile apps.
For more information on using Recall see this Microsoft support article: Recall an Outlook email message
Copilot in Microsoft Office 2021 / 2024
A user who uses the perpetual version of Office 2021 for the PC said he had the Copilot button in Outlook after updating to 2506 and it disappeared after updating to 2507.
In order to have Copilot, you need to have a subscription version of Office.
The reason it was available for one version is because Microsoft messed up when they released the update. They use the same base software for all Office 16.0 licenses (Office 2016 and newer) and control which features you get based on your license. Sometimes, ok fairly often, they accidentally include a subscription feature in the perpetual version. It almost always gets removed in the next update, sometimes sooner.
Restoring Deleted Mail
If you mistakenly delete your entire inbox in Outlook (or a hacker deletes your mail), you need to look for missing mail in the Deleted items or Trash folder. Select the messages and drag them back to the Inbox or use the Move to folder command to move them.
If you use an oiutlook.com or Microsoft 365 mailbox and also emptied your Deleted items, you can recover them from the Recoverable Items folder at the top of the Deleted items. If the messages are not there, they cannot be recovered.
If you use an IMAP account and emptied the Trash, the messages are gone. If you use POP, the messages are gone unless you are leaving mail on the server.
File tab in New Outlook
Also new in Outlook (insiders builds currently) is the File tab. This will definitely make it harder to support Outlook without knowing for sure which Outlook.
New Outlook's File tab menu includes Account info, Save as, Print, Open and export, Settings plus About Outlook and Exit.
Open and Export opens the Settings > File page, while Settings command opens the General page.
