User Question: Add my address to To when sending a BCC?
Links in Contact Notes Field
I get a lot of questions asking why links or email addresses in the notes field of contacts keep duplicating.
This is because you are syncing with a mobile device and the mobile app doesn't support HTML formatting, so the HTML format is converted to plain text. This is usually triggered by editing the contact on the mobile device, so some contacts might have links expanded while others don’t. When you edit it, the expanded link is saved, then when it syncs back to Outlook/Exchange, the links are converted to hypertext. If you edit on the mobile again, those links will expand.
To prevent this, try to avoid editing the contact on the mobile device. Another option is editing the URL or email address so it’s not converted to a valid URL
For web addresses, remove the http://www. If the URL doesn't have a www, removing the http:// (or https://) should be sufficient. For email addresses, add a space after the @ sign in the address. Next, if the URL or address is hyperlinked, right click on it and choose Remove Hyperlink.
Links will also expand in Calendar Notes, but apparently few people edit events on a mobile device.
Outlook’s To-Do and My Day Calendar: Next 7 days
When you select a date in Outlook’s thumbnail calendar in the To-do bar or My Day panel, you will see the next 7 days of appointments.
How Outlook handles days without appointments depends on the Outlook app. Classic Outlook and New Outlook for Windows will skip the dates that don't have appointments, but Outlook for Mac will list the date with “No events scheduled” under each date. This cannot be turned off or disabled.
You cannot change how many days are shown when you select a date. If you need to see a future date, select that date or a day no more than 7 days previous.
Outlook will update the To-do or My Day calendar as the day progresses and only show upcoming events. If you want to see all events for the entire day, you need to select yesterday in the thumbnail calendar.
User Question: Add my address to To when sending a BCC?
A user wanted to know how to add their address to a To field when they’re sending a message using BCC.
Some email clients will put the sender’s address in the To field automatically when sending with only addresses in the BCC field. Unfortunately, Outlook is not one of those apps. When all recipients are in the BCC field, the To field will be blank if you don't add your own address in the To field.
Tip: Don't use the same address as the From address. If sending from an Outlook.com account, create an alias to enter in the To field.
But, you shouldn’t be BCC’ing a lot of people in one message anyway as some mail hosts (or spam filters) will reject messages with too many BCC recipients. Use Mail merge to send individual messages instead.
If you use New Outlook or Outlook on the web, create the message and add the addresses to the BCC field. When you are ready to send, expand the Send menu and choose Start mail merge. Outlook will send a separate message to each address.
In classic Outlook, you need to write the message in Word and use Word’s mail merge function to complete the merge and send it. The advantage to using classic Outlook and Word is that you can customize the merges with the recipients name or address or other information.
I have a macro that replicates the new Outlook method in classic Outlook at Mail Merge to Contact Groups. (It works with both contact lists and individual recipients).
