Help! Focused Inbox isn’t available in Outlook
Users seem to either love Focused Inbox or hate it and the ones who love it can’t wait to have it working in Outlook.
The delay is due to client-side requirements. Currently, Focused Inbox requires Office 365 modern authentication be enabled and Outlook version 1703 or higher. Modern auth is now enabled by default on new tenants but if it was disabled by the administrator, users won’t have the focused inbox option in Outlook with version 1710 or older.
Starting with Version 1711 (build 16.0.8730), modern authentication is no longer a requirement and all Office 365 and Outlook.com users will have focused inbox capability in Outlook 2016 for Windows. This build will be out soon (Insiders have it now).
Contact Groups aren’t in autocomplete
A user came to me with a problem:
I'm using Outlook 2016 on a Windows desktop. Do you know if it's possible to add Contact Groups to the list of Auto-Complete options? It’s only suggesting 'People'. When we email the Contact Group but it doesn't appear in Auto-Complete after that.
Not including local contact groups in the autocomplete list is a bug. Microsoft is aware of it and working on it. Until this is fixed, if you rely on autocomplete, you can roll back to Build 8201.2200 and Build 8431.2107. Note that Groups in the Exchange GAL do show up in autocomplete, only local groups are affected.
If the group names are unique, you can type just enough of the name to match and Outlook will resolve the name to the contact group when you tab out of the field. If Outlook doesn’t resolve it immediately, you can press Alt+K to force auto-resolve.
Use Automatic reply rules without sending an Out of Office message
A user had a problem:
I want to use automatic reply rules to forward mail to a colleague when I’m out of the office, but I don’t want to announce to everyone that I’m out. Is there a way to use autoreply rules and not send an out of office to everyone?
Yes, but only for internal addresses. If you enable automatic replies but leave the message field blank, the automatic reply rules will run but no reply is sent. Unfortunately, this doesn’t work for external addresses – you’ll need to set a message but can limit automatic replies to Contacts only.
Outlook Quick Tip: Move or Delete all Appointments
I receive a lot of questions from users wanting to know how to quickly move or delete appointments and meetings.
It’s easy: switch to List view, select all then move or delete. If you want to delete only appointments meeting searchable conditions, you can use Instant search to find them, then select all and delete (or move).
Switch to the View tab expand the Change view button and select List. The default List view groups by Recurrence; if you want to group by a different field, right click on the field and choose Group by this field. To turn off grouping, click View Settings, then select Group by. Select group by (none) or, if selected, untick the option to group by arrangement.
When you are finished, go back to the Change view button and change the view to Calendar view.
