Control Panel’s Mail applet
Long time classic Outlook users instinctively go to Control Panel and open the Mail applet any time they need to modify their profile or create a new one.
Microsoft discourages using that method to create new profiles or add accounts to the profile as it does not support oAuth2 (aka “modern authentication”). Gmail and Yahoo users will need to create an app password to add those accounts using that dialog as it will not bring up the sign in dialog. The dialog should allow you to add Outlook.com or Microsoft 365 Work or School accounts that were previously used in Outlook (because Outlook "remembers" the account) but adding a new Microsoft account will fail as it will not bring up the modern auth sign in dialog.
For easy access to this dialog, without needing to find Control Panel, Microsoft added a link for “Manage Profiles” to the File > Account Settings dialog in Outlook. It is the same as going into Control Panel, but easier to access if you have Outlook open and need to remove or view other Outlook profiles.
The recommended methods to create a new profile in current versions of classic Outlook:
1. With Outlook closed, hold Shift and click on the Outlook icon.
2. Press Windows key + R to open the run command and type Outlook.exe /profiles then press Enter.
3. File > Account Settings > Change Profile. Outlook will close, click on the Outlook icon to reopen it.
Using any of those methods, the Choose Profile dialog will open. Click Options button then New to create a new profile. Add the profile name and then add your email address and password.
If you need to remove accounts or PST files from your profile and Outlook won't open, press the Shift key and click on the Outlook icon to bring up the Choose Profile dialog, then click Options > Properties to delete an account or remove a PST file. This Account Settings dialog supports oAuth2. (You can also use Control Panel > Mail to remove accounts or PST files if Outlook won't open.)
Turn off IMAP access in Outlook.com accounts
A user wanted to know if they could turn off IMAP access in your Microsoft account, to help keep hackers from downloading their email.
Yes, you can now disable IMAP access in outlook.com accounts.
Log into Outlook.com and open View tab > View settings > Mail. Look in the Forwarding and IMAP section. Or click this link: https://outlook.live.com/mail/0/options/mail/forwarding to get to the correct Settings page.
With IMAP disabled, you will need to either use one of the Outlook apps or web mail. You will not be able to use most third party mail apps to access your email.
In addition to enabling or disabling IMAP access, you can enable or disable POP access and set the default From address for messages sent from outlook.com or the new Outlook app.
Note: setting a different From address than the sign in address only works in outlook.com and new outlook. It does not work in Outlook mobile or classic Outlook. In those apps, the default From address is the primary address on the account and you will need to change the From address if you want to use a different outlook.com address.
App passwords in Outlook.com
As of September 16, Microsoft requires using oAuth2 authentication to sign into Outlook.com accounts, but as many users noted, if you have 2-step verification enabled on your account, the option to create an app password is available but it no longer works in mail apps.
Correct, the app password will not work in email clients. It is available because other Microsoft account services, like Xbox, do not yet support 2-step verification.
