We are often asked how to merge two folders. It's easy – use a list view then drag the items to the other folder. Or use the Move to folder command. It doesn’t matter which type of Outlook folder you are using, the method is the same for all folders.

If you want to move all of the contents to another pst file, Export is quick and easy, but it can result in the loss of custom forms, custom views, and links to contacts. Export will copy everything in the source data file to the target data file.

To move entire folders, drag them to the new data file. This works well when you have custom views in a specific folder or published forms to a folder, as they move with the folder.

To selectively move the contents of some folders from one data file to another, you can use drag and drop or the Move to folder command.

  1. If not already open in your profile, you need to open the source data file using Open, Outlook data file
  2. Open the folder containing the items you want in the other data file
  3. If you are moving appointments or contacts, switch to a list view, such as All Appointments or By Category. In Outlook 2010, it's called List view. In Contacts, use Phone list view.
  4. Click on one item, the press Ctrl+A to select all.
  5. Select all (Ctrl+A)
  6. Use the Move to folder (or Copy to folder) command or drag the items to the folder you want to move the items to.

    Thanks for your great tutorial but I am still having problems with my outlook calendars. I want to delete ALL the entries from my primary out look calendar (2011 for mac) when i switch to list view and select all it only lets me select a month at a time and my calendar goes back to 2009 so there is a lot of data! Is there a way to select everything in the calendar please. Once I have emptied this calendar I then want to move or copy the contents from a back up calendar that installed as a separate calendar when I imported it but again it only lets me copy one month at a time. When i tired the move to folder option I could not get a result for the folder I wanted. I only get the option to type in a folder name and it doesn't recognise the name of my exchange calendar as a folder. I can't find where the calendar folded are stored on the mac so I can't type in a path name if that is what it needs. I would appreciate any help you can give me as I have spent hours… Read more »
