Clarification on authentication changes coming to Office 365

As I mentioned in the last issue of EMO, changes are coming to Office 365 business accounts on October 1 2022.

At that time, only versions of Outlook that support modern authentication with be able to connect to Office 365 Exchange mailboxes. This means Outlook 2010 and older will not work, only Outlook 2013 and newer can be used.

Users who prefer using POP or IMAP (and there are many!), will need to switch to using Microsoft Exchange or use a different email client. You will not be able to use Outlook with two-factor authentication and an app password to set up POP or IMAP accounts.

At this time, this only applies to Office 365 business accounts, including those provided by resellers, such as GoDaddy. Outlook.com accounts are not affected at this time.

To add the account as a Microsoft Exchange account, remove the account from Outlook and add it back using auto account setup (File > Add Account). This will add the account to Outlook as an Exchange account. If you are currently using POP, the pst file will remain in your profile.

Remove the RSS Feeds folder from Outlook

If you don’t want the RSS folders in Outlook desktop (or want to remove it from Outlook on the web), you will need to use a macro or MFCMAPI to hide or delete the folder.

You can set a registry key to disable RSS support, but need to do it before you add the account to Outlook. Instructions are in this article: How to Remove RSS Support from Outlook

While you can delete the special folders Outlook creates, Outlook will restore the folder if needed, such as receiving a meeting invitation. Hiding the folders usually works better. Be aware that Outlook may put items in the hidden folders, and because they are hidden, you will never know.

To remove the default folders from an IMAP account, set another data file as default and export calendar, contacts, and tasks that are in folder labeled "this computer only" then close Outlook and rename the IMAP data file. When you restart Outlook, the special folders will not be created.

One folder you cannot hide or delete is Search Folders. (It’s also not a true folder.)

Outlook on the web's Previous / Next buttons

If you use Outlook on the web and were missing the Previous and Next message buttons the last couple of weeks, they should be back. If not, try clearing the browser cache.

Note: the previous and next buttons are only available when you are reading mail with the reading pane turned off.

Everyone, reading pane on or off, can use keyboard shortcuts to move between messages in Outlook on the web:  Ctrl+ . (period) and Ctrl+ , (comma) works with the reading pane on or off. When you use the reading pane, the up and down arrows on the keyboard will move through the messages; use the right arrow key to expand conversation groups.

Moving multiple deleted items creates confusing warning about creating new items
Fixes an issue in which you receive a warning message about creating new items when you move or copy multiple items from the Deleted Items folder.

Outlook for Mac “Account already exists” error
When adding a mailbox to Outlook for Mac, you might encounter the error “Account already exists”. This error occurs because you’ve tried to add a shared mailbox through the main “Add email account” window.

Outlook for Mac fails to open attached files if the helper application is already running after installing macOS 11.6.6 update
Outlook for Mac users trying to open an attachment receive the following error: The file “filename.ext” couldn’t be opened because you don’t have permissions to view it.

Problems syncing shared calendars when enabling "Can view title and location" permissions
Enabling “Can view title and locations” permissions is creating sync issues for shared calendars in Outlook.

Incorrect or no results when searching auto-expanding archives in Outlook
When users search their online archive mailboxes that are spread over multiple Shard Locations (auto-expanding archives), they don't get accurate results. They either get no results or more results than expected.

Outlook 2019 sender email address missing on reply and forwards
When using Outlook 2019 to reply or forward an email, in the body of the email the sender email address may be blank, showing only < >.

Incorrect or no results when searching the Online Archive of Full Access mailbox
When a delegate performs a search in the Online Archive of a mailbox that is accessed with Full Access permissions, Outlook will show no results, or will show incorrect results.
