Folder sharing not available

A couple of users asked me how to solve an error they received when trying to share a folder with another user: "Folder sharing is not available with the following entries because of permission settings on your network"

They’d seen comments I’d made that you need to select the name from that global address list when sharing folders from Outlook. They said they were selecting the friend's address by clicking on To and choosing his email from the Global Address Book, just like they did when they shared the Calendar.

The use of the word “friend” caught my attention and I asked about their organization. The problem: they are using Outlook.com accounts and Tasks can only be shared within an organization. While outlook.com is one big organization, each account is its own Office 365 tenant, and the global address list has one member: the account holder.

While the Task folder cannot be shared from Outlook, task folders you create in Outlook can be shared using the To-Do app, however your default Tasks folder cannot be shared.

To share folder from the To-Do app, right click on the folder and choose Share. You can send the invitation in email or copy the sharing link. A Microsoft account or Office 365 mailbox is required to use the To-Do app but anyone with the link and a Microsoft account can view and edit the list (there are no permission options to limit people to read-only).

Find and Deleted Older Email

A user wanted to know if there was a way to quickly select and delete emails older than a specific number of years.

Sure: use Instant Search.

You can choose dates from the search menu or type a date in, using this format with the desired date:
received<1/1/2019
Click on All if you want to choose a specific folder, otherwise it searches the entire mailbox. Then click in the circle to the left of Results to select all then click Delete All.

If you have Outlook desktop, use the same search term and change the search scope, if needed. When the search is complete, select all (Ctrl+A) then Delete.

Weird From Address in Sent Items

Some users report seeing a weird From address in the Sent Items folder and are concerned they were hacked or that recipients will see the ugly address or won’t be able to reply. The format of the address looks like this: /O=FIRST ORGANIZATION/OU=EXCHANGE ADMINISTRATIVE GROUP(FYDIBOHF23SPDLT)/CN=RECIPIENTS/CN=1234567890

First off, a better indicator that you were hacked is finding messages you didn’t send in your Sent Items folder. :)

That weird looking address is the x500 address used internally by Exchange server. You normally won’t see the address, but there is a bug and some users are seeing it in the From field.

It's just a problem with the display. The address is converted to the SMTP address when the message is sent to the internet. The recipient will not see the Exchange x500 address, only the SMTP address, and replies will work.
