When you create email accounts in Microsoft Outlook 2010 and newer, the default setting is to create a separate data files for each POP3 account. Note that the delivery folders for IMAP and MSN accounts can't be changed; changing the location for Exchange server mailboxes will remove the mail from the server and can break Exchange features.
While you can select the folder when you're creating the accounts, you need to select the Manually configure server settings after the account is setup. Most people who use auto account setup choose Finish (or add another account) instead of manually changing settings and missing this option.
These instructions are for POP3 accounts only. For other account types, see Multiple IMAP and Hotmail Accounts and their Data Files (*.pst)
If you don't like this and want to use one Inbox for each account, change it.
To change the email delivery location:
- Open File, Account Settings and select the account
- Click Change folder button
- Select the folder you want the messages delivered to.
Note: you'll use this same method to change the delivery location in Outlook 2007, but from Tools, Account Settings dialog.
Hi Diane
Can i change an account from IMAP to POP3 in OL2007 without problems so it can deliver to my main inbox?
TThanks!
You can (assuming it supports PO)- you need to delete the account and add it back as POP3, its not possible to convert an account that is in the profile.
Thanks for this, it made it so easy to move all my mail accounts to one inbox
Hello Diane,
I hope all is well with you.
I have an end user that has multiple accounts set up to their work Outlook account. We use O365 32-bit Win7 64-bit OS. The end user deletes emails from one of their work accounts and the deleted email appears in their personal email trash folder. Behavior is specific to end user's pc while others in their area are not experiencing the same issue. Please let me know what other information you may need.
Are they all POP3 accounts or do you use Exchange server? This is expected behavior for shared Exchange mailboxes unless the user has create permission in the Deleted items folder of the shared mailbox.
i have outlook 2016 and i have 3 e-mail account, and my problem is the when i sent and email from the second or third account, The e-mail that i sent appear on the first account on sent items.. How can i resolve that issue
Are the messages being sent from the proper account? We've seen an issue with outlook 2016 and an outlook.com account in the profile where all mail is sent from the outlook.com account.
yes they are,,,When i sent an e-mail to someone they do get it from the proper account is just that i don't see the e-mail on the proper sent folder and all e-mails from the other two account goes to the first account...
Sorry I missed this earlier (too many comments came in and i took off over the holidays) - is it still failing?
I also try on outlook options and mail-save massages and check on " When replying to a massage that is not in the inbox, save the reply in the same folder ". But that did not work either...
When I send emails from my IMAP account some but not all emails go in the pop3 account sent folder
Are you using any rules to move sent messages? did you confirm the from field showed the imap account?
What version of Outlook are you using?

Sorry I missed this earlier - did you solve it?
Are all messages getting moved? if only some, do they have the option to save sent messages with the original and are replying to messages in the archive folder?
Are the messages being moved there immediately upon sending the message? If there is a delay in moving them, are the users syncing with an android smartphone?
Please - Any clues on why one of my accounts has a (1) after it. There's only one of it! Worried there may be a confounding duplicate lurking. The 2 accounts link to the same data file and are (for example):
"john@jsmith.co.uk(1)"
and "info@mybussiness.co.uk"
It's that pesky (1) I am worried about! Does it matter.#
POP3/ Windows 10/ new laptop/ Office 2010/ + pain!
it doesn't matter... depending on where you see it, it either indicates you added the account a second time or you have two data files created by the same email address. See https://www.slipstick.com/outlook/config/rename-email-accounts-data-files-folder-list/ for instructions to remove it - it's really easy to remove.
Thanks for the info. I searched my Outlook 2010 help and as usual, I got 99% of stuff I was NOT looking for. A Google search brought my to your site where I found the answer in seconds.
