I am always amazed how it was thought having personal computers would save us time. It has in many areas and in some it has not. It has put information at our finger tips and greatly diminished the delays in communication with email. Email has become one of the main communication methods in both our personal and professional lives. It has evolved so much over time that we have moved past the basics of sending and replying to needing a more sophisticated organized approach. We need to be able to find emails from specific people and certain conversations. We need to keep them organized and easy to search to be able to answer questions as quickly expected. This is one of the main things I am asked on Outlook outside of troubleshooting questions. How to find and keep my emails organized. I immediately liked what Lookeen had to offer. At first I thought it was going to be too similar to what Outlook 2010 already has built into the product under the Find Already or under the Advanced Find. As you read on you will find I was not correct.

Once the product was loaded and the quick access toolbar was loaded it made searching and analyzing emails so much easier.

Let’s Talk About the Features

Analytics

I was not expecting to see a tool like this available in this product. What an excellent feature. May be asking yourself, why or when would I ever use it. A business owner or manager could use it to help determine the busiest time of the day for email communication and then plan resources accordingly. A business owner or individual could use this analysis to effectively plan their days. Example if they find that their email communication is the highest on Mondays they may choose not to schedule meetings or other activities.

I like how the analytics portion of this software gives you options to view it by day, week, month or year. The summary is broken down for a quick view of total, sent and received, tasks and appointments. Plus the ability to double click on the results to actually open those emails, tasks or appointments during that time period is so convenient.

Search by Conversation or Contact

Wow, this is great not only does it allow you to quick search by either contact or conversation. More than that you can summarize the content; the menu options allow you so many additional options from extracting emails; filtering conversations to moving conversations to folder just to name a few.

Find More Like Selected Email

Easy quick way to find emails for a specific conversation or subject. It allows a quicker find of conversations then using the search by person as it narrows it down to specific emails.

This is a quick way to view from today. Though you may be able to do the same directly in Outlook it is convenient to have it there in Lookeen.

Options

Lookeen makes it very versatile on what and when things are indexed in Outlook. Select all or specific folders on Outlook. You can even include Outlook categories. It even allows you to create a shared index folder. This feature allows you to index public folders as well as local and network folders. This will save time as well as system resources for those doing the search as it will already be indexed in a specific folder.

Lookeen gives you the information quickly and easily. It allows you to customize what and how often you index to meet your needs.

Lookeen has taken indexing and searching Outlook a step further by putting options in the hands of the users and adding very useful tools that can increase productivity such as the analytics portion or the ability to quickly find what you need when you need it.
