An Outlook rule that is only active certain times of day

One question that comes up often concerns rules wizard: Users would like to be able to set a rule to run only during certain times of the day.

 Is there any way to create an Outlook Rule that is only active between certain hours of the day? I want my rule to be active between the hours of 10pm-4am.

Outlook has a rule condition for messages received between certain dates, but it's better suited for people on vacation or with a leave of absence as it's for specific dates only, not a specific time each day.

Outlook doesn't have the ability to turn rules off and on based on the time of day, but thanks to VBA, it is possible to turn rules off an on without opening rules wizards dialog, but only in Outlook 2007 and higher. Because Outlook VBA doesn't include a timer, you need to run the macro manually or wait for something to trigger it - like a reminder. 

To use the macro, you need to create a task with the subject "Disable Rule" and set the reminder time for the time you want the rule to be disabled. Create a second task with the subject "Enable Rule" with the reminder time set for the time you want it enabled. If you want to turn more than one rule off or on, use the rule name for the task subject and assign it to a category called "Disable Rules" or "Enable Rules".

Remember, this macro will not work with Outlook 2003 or older.

Share private items with other users

A less frequent, but equally interesting, question is from a user who shares a calendar with others and wants to show some of his private appointments to some of the people who have access to his calendar.

In order for another user to see appointments you've marked private, you need to give them delegate permission to the folder and give them permission to see the items marked as private. This is an all-or-nothing deal; you can't give them permission to see some of the private appointments, while still keeping some appointments hidden.

Using Out of Office Replies

It's vacation season and vacation season means a lot of questions from users asking how to enable out-of-office in Outlook.

Outlook's out of office feature works only with Exchange mailboxes and my years of experience has taught me that the people who ask this question are not using Exchange.

Non-Exchange account users have two choices: create an autoreply with a template rule in Outlook and leave the computer turned on and checking email while you're gone, or log into your email account's online portal and configure a "vacation reply" message.

Using a vacation reply configured on the mail server is preferable to using a template in Outlook. First and foremost, it just works. You don't need to leave your computer turned on and Outlook checking for new mail for it to work. The reply goes out as soon as the message is received by your mailbox, not 10 minutes later when Outlook downloads the message.
