Printing a Calendar Legend

Several users had the same question this week: they wanted to know how to add a legend to a calendar created using the Calendar Printing Assistant.

"For example, I have a 2 week view with 2 calendars overlaid. One calendar is blue and the other cyan. The calendar owners' names are displayed on the screen, but not on the printout. I would like to be able to hand out the calendar in the office with the names on it so everybody knows what everybody else is doing. "

Currently the only way to add a real legend is with a pen. If you’ll be printing the same calendars all the time, you could edit a template and add a text legend to the page footer: "Mary is Blue; Bill is Green".

However, a legend may not be necessary in all printouts. Since you can select any character from any font to use as the symbol, use each person’s initial (I recommend a bold font, such as Cooper Black or Arial Black) or pick more appropriate symbols from the Wingding and Webding fonts. This works well in the monthly calendars and week planner, but not in most day or week calendars. For those, you'll still need to use a pen.

To change the symbol or color used by a calendar, click the arrow that appears when you move the mouse over the calendar name and select Change color or Change symbol.

Appointment Creation Problems

We're seeing a number of users complaining of problems creating appointments. The problem is always one of two issues: the open appointment has the correct time but it displays on the calendar as occurring "now" or the appointment won't save.

When Outlook has an appointment on the calendar in the creation or received time period, it means the view is messed up. Reset the view to fix it.

When users receive an error that an appointment can't be saved, clean up (or delete) the forms cache and reset the view.

Exchange Quick Tip: RPC over HTTP and self certs

Having trouble with RPC over HTTP and using a self-issued certificate?

You need to install the certificate on your computer first. RPC over HTTPS doesn't trigger a dialog asking if it is ok to connect to an untrusted server, it just fails.

To install the certificate on your workstation, export the certificate from the Certificate Manager on the server and install it under Trusted Root Cert Authority on your Local Computer.

Outlook Quick Tip: Prompt for Password

A reader asks "We're using Exchange server and users have to enter their login information every time they open outlook: username, password and domain. What can I do to fix this? "

This is controlled by setting in your profile. In Outlook, go to the Tools menu, Account Settings. Select the Exchange account and click the Change button, then More Settings. Look on the Security tab for the Always Prompt for logon credentials checkbox.
