An administrator asks: "One of my users
has a full calendar with lots of recurring
appointments. He would like to clean his calendar
but is in fear of losing recurring appointments.
Going through each appointment is not an option.
What's the best way to go through a huge calendar
and remove old appointments without wiping his
recurring appointments?"
Create a custom table view with a filter that
shows only non-recurring appointments. Either
Select All and delete or sort by Start Date and
delete all items before a specific date.
Which fields do you need in the view? You can use
either the "Recurrence Range Start" or the
"Recurrence" fields. Create a filter using the
Advanced tab and set chosen field to "Does not
exist".
An Outlook user asks: "I just created a new inbox
because my old one was over 2 gigs and starting
to have some issues. When I created the new
inbox, one of my contacts files (with many
distribution lists) disappeared. I have several
inboxes from different years and I keep them
because I have many distribution lists.
Unfortunately, each time I create a new inbox, a
new contacts file is also created so it gets
confusing. The main problem is finding the
missing distribution lists that are contained in
the missing contacts file. Secondary to that, is
managing all of the contacts files. There are
thousands of addresses and hundreds of groups.
Help!"
You're doing it wrong. First, if you think the
'mailbox' is too big, don't make a new one,
archive your older mail instead. You can either
use AutoArchive or sort by date and move the
older messages to a new personal folder yourself.
This will keep any custom views or custom forms
you have published in folders in your default set
of folders and won't affect your contacts.
If, for whatever reason, you really do need a new
default message store (pst), you can (and should)
move the contacts (and calendar) items to the new
folder. Using a table view (like By Category),
select all, then use Edit, Move to folder.
Otherwise, you'll need to enable the old contacts
folder as an Address book by right clicking on it
and choosing Properties, then Outlook Address
book tab and checking the box and give the folder
a unique name. But, even with these folders
enabled, finding a contact within the mess of
folders isn't always easy.
Why is one contacts folder better than many? It's
less confusing, especially if you have contacts
duplicated in each. Instead of using multiple
folders, use categories and custom views. As you
have discovered, one problem with too many
folders is that it hampers you ability to find
anything. Instant Search (or Find) and Advanced
Find work better with one folder, or when all
folders are in one mailbox.
Contacts are especially bad for multiple folders
because, while Outlook will check each address
book when its trying to resolve a name, it will
stop in the first address book that has a
potential match. If you have a 'Charlie' in the
first and last address lists, Outlook is only
going to offer the first Charlie it finds.
Outlook Quick Tip: Hand icon on folders in Outlook 2007
When you create a new folder in Outlook 2007, the
folder will have a hand icon on it, indicating
the folder is shared, even if sharing permissions
are set to None. This happens because the default
for the None permission is Folder visible. If you
remove the check from Folder visible, the hand
disappears.
Outlook Quick Tip: To-Do Bar and All Day Events
A lot of Outlook 2007 users are unhappy that All
Day events don't display on the To-Do bar. But
it's not just events where the "All Day Event"
box is checked that aren't shown, any timed
appointment that exceeds 24 hours is considered
an all day event and won't display on the To-Do
bar.
If you want the appointment to display, you'll
need to make multiple appointments, each shorter
than 24 hours.
