Exchange 2007 Feature of the Week: Unified Messaging Exchange 2007 supports unified messaging with server-based tools
that integrate with Outlook and mobile clients to give users access
to voice, fax, and e-mail data from anywhere. Along with access to
their email, voice and fax messages from their desktop computers,
users can use the telephone to manage their message, calendar, and
personal contacts.
The catch? You have to have a compatible PBX system. It won't work
with just a telephone line plugged into a modem. The good news is
that Exchange Unified Messaging works with both IP-PBXs and legacy
PBXs through gateways, so you don't have to replace existing PBX
systems to use unified messaging.
The way it works: the Exchange Unified Messaging server takes audio
from the phone. When you dial in to the correct extension and log
on, your voice & touch tones are sent to the Exchange UM server,
which interprets them and responds by playing its own audio back to
the PBX and message comes out of your telephone earpiece.
Outlook 2007 Feature of the Week: Instant Search
Anyone who is familiar with the search capabilities of Outlook is
well aware of how slow Outlook finds anything and knows too well its
annoying habit of finding older items first, when users usually want
it to find newer items first. Outlook 2007 corrects many of the
things we hate - Instant search is just that, instant. It's fast
enough that it doesn't matter what order Outlook displays items,
they all come up at nearly the same time.
This is because Outlook 2007 uses version 3 of the Windows Desktop
Search (WDS) engine, which creates an index of all items in your
mailbox, along with documents and files on your hard drive. WDS only
indexes your mail and files when the computer is idle, so it may be
hours or days before the index is completed. Until WDS indexes your
mailbox, searching is slow and you may get limited or no results. If
this happens, you'll need to use the advanced search options in
Advanced Find. You'll probably want to tell WDS to begin indexing -
right click on the Indexing icon in the notification area and choose
Index now.
Not only is Instant search fast, it adds some frequently requested
capabilities, like the ability to search for keywords used in
supported documents or to find all messages with a specific document
type attached.
Outlook 2007 and Folder Homepages
In Outlook 2007, the folder homepage feature is disabled by default
in non-default message stores. This is for security reasons, to
prevent users from unwittingly opening a pst which has a folder
homepage, as there is no way for a user to check for a malicious
script.
Folder homepages can be enabled using a registry key or site-wide,
using policies in the outlk12.adm administration file.
The registry key which controls this is
HKEY_LOCAL_MACHINE\Software\Policies\Microsoft\Office\12.0\Outlook\Security
DWORD: NonDefaultStoreScript
Values:
0 (or missing) = Folder home pages in non-default stores are
disabled.
1 = Folder home pages in non-default stores are enabled.
Note: Folder homepages will continue to work as expected in your
default message store, only folder home pages in the non-default
stores are affected by this security measure.
Exchange Help: Forwarding Mail A reader asks: "How do you forward email to another internal user? I
figured out how to set up a contact and how to forward that to an
external address, but I want to forward email to an internal
address. I'd like to be able to do with a contact instead of a full
AD account if possible."
You have two options, first is creating a rule in Outlook to forward
messages to another address. While many administrators disable the
ability to forward mail to Internet addresses, you can still forward
to local addresses. This option lets you use Outlook's contacts.
Your second option is to set forwarding on the AD account. From
Active Directory Users and Computer, open the users Mailbox
properties then go to the Exchange general tab and find the Delivery
Options button. Click Forward to and then Modify. Enter the
alternative recipient; you can use either and internal user or a
contact. This method uses either a User account or a Contact in the
AD. Because you are using a mail-enabled contact, you can use this
method to forward email to an external address even if the
administrator has disabled forwarding to the Internet.
