Upgrading to Exchange 2007

Jason asks: We're currently running Exchange 5.5. What are our options for upgrading to Exchange 2007?

Well Jason, there are no upgrade options for moving from older versions of Exchange to Exchange 2007. Exchange 2007 requires 64-bit hardware and you won't be able to do an in place upgrade from any older version. If you currently use Exchange 2000 or 2003, you'll be able to transition to Exchange 2007 fairly easily (as if any server migration is easy) while Exchange 5.5 sites will need to first migrate to Exchange 2000 or 2003 then transition to Exchange 2007.

The process begins with in installing a new Exchange Server 2003 then migrating mailboxes from Exchange 5.5 to the Exchange Server 2003 system. Once this step is finished, you can finish the transition to Exchange 2007. Microsoft will have tools to help sites migrating from Exchange 5.5, as well as for migrating from other messaging systems. Sites currently using Exchange 2000 or 2003 have the choice of migrating to a completely new Exchange organization or transition the existing organization to Exchange 2007. I expect most sites will want to retain their existing Exchange data and choose transition.

It sounds like a lot of work but in the end, you'll be glad you did. Exchange 2007 is heads above Exchange 5.5.

Exchange 2007 Feature of the Week: WebReady Document Viewing

WebReady Document Viewing is a new option built into OWA which allows Office documents (Word, Excel, PowerPoint, and PDF) to be accessed as e-mail attachments or through public folders and displayed as HTML, even if Office isn’t installed on the client PC.

It's pretty cool and makes it easy to view attachments from any computer, and users of older versions of Exchange aren't left waiting for an upgrade. MessageWare's AttachView application provides this capability in Exchange 2000/2003. http://www.messageware.com/product_attachview.htm

Outlook 2007 Feature of the Week: Postmarks

A new option in Outlook's Junk E-mail settings is Postmark. Enabling Postmark may make it easier for other Outlook 2007 users to receive legitimate messages that might otherwise be classified as spam. Normally, when you receive a message that looks too much like spam, Outlook's spam filter moves it to the Junk email folder. To help reduce these false positives, when users send messages that could pass as spam, Outlook performs the calculations necessary to solve a simple computational puzzle and adds information about the puzzle and the solution to the SMTP message header. Because that computation takes only a little time for one message but would take a very long time for a spammer sending millions of messages, the presence of a Postmark in the message header is a strong indication that the message isn’t spam.

Back to School Spam Time

It's that time of year again - time for college students to return to campuses and add thousands of computers to the campus networks. Is your network ready for the barrage of spam from infected computers that sat idle this summer or were connected to a slower network?

My youngest child starts college this fall and I was shocked to learn her college's IT department does little to insure the computers are properly protected. While they do provide antivirus software to the students, they don't require the use of Windows Update or a firewall. Rather than scanning for firewalls and updates before allowing the computer to connect to the network, they wait until an infected computer uses too much bandwidth then shut down the node until the student runs AV scans on it.

Maybe I'm just spoiled because my older child attended a college that was very proactive in preventing spam and did not allow any computer on the network unless it met certain requirements, including up-to-date antivirus (provided by the school), a firewall enabled, and certain critical updates. They also blocked ports that are frequently exploited, including ports 135 and 1434. The first time the student logged into the network they had to run a script that verified the computer met the minimum standards for network access and were not allowed network access until the computer passed the test.

At the very least, all campuses need to be proactive and do more than provide Antivirus software to their students. Students are no different than the typical home computer owner. If automatic updates are not set to download and install automatically, it's very likely they will never be installed. If the firewall was not enabled by default, it will never be turned on.

Just think how much less spam we'd be inundated with if every computer that used a broadband connection was updated regularly, had current antivirus software, and a firewall turned on. Only in our dreams…

ActiveSend 2007 Beta 2 is available as a free download for a limited time.

Fetchmail can be used to collect mail from POP3 mailboxes and deliver it to Exchange server. It's one of the applications found Unixmail for Windows, a package of unix mail tools ported to MS Windows (Win32), and bundled together with an installer. In addition to fetchmail, the bundle includes mutt, aspell/pspell, sSMTP, and GnuPG.

Public Mail2Contact is a freeware Outlook addon. It generates Outlook contacts from existing e-mails and verifies whether the e-mail-address does already exist as contact of Outlook. Adequate filters prevent Public Mail2Contact from creating duplicates in Outlook during the conversion. The usage of individual blacklist filters permits to exclude specific e-mail-addresses, domains or suffixes. This helps to avoid the continuous visualization of the same domains or e-mail addresses during conversion.
