Exchange Messaging Outlook
Volume 11, Number 8

Greetings! Welcome to Vol. 11, No. 8, of Exchange Messaging Outlook, a biweekly newsletter about Microsoft Exchange and Microsoft Outlook.

Today's highlights:

Regular features:

Saving and Restoring Outlook Accounts

A frequent complaint during beta tests or following the release of a new operating system is the inability to export account settings from Outlook. While you can export the settings from the registry, Outlook itself does not offer the option to save account settings.

Exporting the relevant registry keys may seem like the ideal solution, but unless the systems are identical, including the very same add-ins, you'll encounter errors and may corrupt the profile. If you plan to use this method, create the profile in Outlook and export the registry file before installing add-ins . You'll find the account settings at the HKEY_CURRENT_USER\Software\Microsoft\Windows NT\CurrentVersion\Windows Messaging Subsystem registry key. File and Transfer Wizard isn't much better because you can't save just the Outlook settings, you need to include many other Windows files and settings. Office's Save my Settings wizard doesn't include all of the files needed and is not included in Office 2007.

One option is using Outlook Express to save the account settings. First, import the accounts into Outlook Express then go to OE's Tools, Account dialog and export each account to a configuration file (*.iaf). When you need to recreate your profile, import the *.iaf file into OE then import the account into Outlook.

When you use multiple personal folders or moved your personal folders from the default folder location you can use a Profile file (*.prf) to recreate the accounts and add personal folders to your profile. The advantage of using this method when you have several email accounts is that it's a one-step process as all accounts are stored within one PRF file, unlike the OE *.iaf file where you have per account. You can easily edit PRF files using Notepad when account information changes.

There are several third party tools you can use to backup the account settings, a list can be found at

Outlook 2007 Feature of the Week: Attachment Preview

One frequent feature request over the last few years has been the ability to view image attachments in the preview pane automatically, "like Outlook Express does". Outlook 2007 finally does Outlook Express one better, not only can you preview attached images, you can preview Office documents. Eventually many other common file types, such as PDF, will have filters available which will allow you to preview them as well. Anyone who receives a lot of attached documents should find this feature handy; the only time they'll need to actually open an attachment is when they need to edit it.

Outlook 2007 doesn’t automatically display the attachment, you need to click on the attachment to view it in the preview pane. The preview is read-only but images or document contents can be copied and pasted into other documents, messages or into other Outlook items. When you're finished viewing the attachment, click on the email icon next to the attachment icon to restore the message to the Reading pane.

This is one of my favorite features in Outlook 2007. Previewing Word documents in the Reading pane makes me more productive and I'm eagerly awaiting a PDF filter so that I can save even more time.
