Importing to Microsoft Outlook

Microsoft Outlook can import data from many different applications. In the following table, IEW means use File | Import and Export to launch the Import and Export Wizard in Outlook. In most cases, choose Import from Schedule+ or another program or file on the first screen of the wizard. For Outlook 97, the Microsoft Office 97 Service Release 2 ValuPack  includes updated versions of import/export converters for Starfish SideKick 1.0/95, Symantec ACT! 2.0 for Windows, and NetManage Ecco Pro 3.0, 3.01, and 3.02, plus the Export Wizard for Timex Data Link Watch. I don't have any information yet on whether these are safe to use with Office SR-1 or whether they require that SR-2 be installed first. It's a big file -- 17mb -- so you might just want to order the SR-2 CD and wait.

If you need to import data into Outlook 98, download the Field Mapping Patch. It's essential if you want to control which fields in Outlook are used to store data from your source file.

To convert from: Use (IEW = Import and Export Wizard):
Personal Folders file (.pst) IEW, installed with Outlook
Personal Address Book (.pab) IEW, installed with Outlook. See Coordinating Outlook Contacts and the PAB.
Microsoft Mail file (.mmf) IEW, installed with Outlook
Comma- or tab-separated values filee IEW, installed with Outlook

Lotus Organizer 97 Export to an Organizer 2.1 or Schedule+ file, then use the import technique for that format.

Organizations migrating from Schedule+ to Microsoft Exchange Server should consider using the SC2 Importer for Microsoft Outlook 97 from the Exchange Server 5.5 client CD. Microsoft also has a Microsoft Outlook Migration Kit for the bulk migration of Exchange Server-based Schedule+ data to Outlook folders.

Lotus cc:Mail Install cc:Mail support from the Office 97 Valupack\Ccmail folder. You also need the Lotus Export.exe file.
Microsoft Internet Mail/Outlook Express messages Use File | Export from IM/OE.
Windows Address Book from Microsoft Internet Mail WabOut  or Address Magic  
Windows Address Book from Microsoft Outlook Express Use File | Export from IM/OE to export to Personal Address Book, then import the PAB using IEW. You can also use WabOut or Address Magic. Another method: Export to a Text File (Comma-Separated Values), then use IEW.
Windows Cardfile Use Transfile.exe (61kb) to convert the Cardfile entries to a tab-delimited file, then use IEW. You may need to edit the import source file with another program to clean it up first.

Eudora Light address book Method #1: Address Magic  

Method #2: Open in Microsoft Word; search and replace "<" with Tab (a special character) and ">" with nothing to create a tab-delimited file. Then use IEW.

Eudora or Netscape address book Method #1: Address Magic  

Method #2: Import to Windows Address Book in Microsoft Internet Mail (ver. 4.70.1162 or later) or Outlook Express (if you need to import Netscape Communicator v4), then use WabOut.

Eudora address book Method #1: Address Magic  

Method #2. YooDoormat, then IEW.

Method #3: Export to Excel or a .csv file, then IEW. See OL2002 Address Book Does Not Import Correctly from Eudora 5.0 to Outlook 2002.

Eudora, Netscape, Pegasus or other Internet messages Method #1: Converting Internet messages to Exchange or Outlook

Method #2: Select all the old messages and forward them to yourself using the old mail program. Then retrieve with Outlook. With any luck, you'll get one big message with a lot of little message icons you can move to folders. (Try with one or two messages first.)

Method #3: There is an alternative method using a POP3 server (if you happen to have one handy).

  • Commence Export to dBase, then use IEW. (Install the database driver during Outlook setup.)
    Maximizer Export Contacts only to a text file, then use IEW.
    WordPerfect Office Notebook (DOS) address files Thanks to Ben M. Schorr for posting this information in the Outlook newsgroups:

    These files are WordPerfect Secondary Merge files. Follow this procedure:

    1. Create a primary merge file in WordPerfect that is basically a list of all the fields.
    2. Add a comma after each field, except the last one.
    3. Add the word "END" after the last field.
    4. Merge to a new WordPerfect document.
    5. In the new document, add a page at the beginning that has just the field names, each followed by a comma. (This will create a first record with the field names.)
    6. Do a search and replace that replaces all [HRt] with nothing. (In other words, remove all the hard page breaks.)
    7. Do a search and replace that replaces "END" with a [HRt].
    8. Do a Save As into a DOS ASCII Delimited File.
    9. Use IEW in Outlook to import, taking care to map each of the fields in the source file to an Outlook field.
    TeamLinks personal address book TeamLinks Personal Address Book Converter, then IEW. 
    Outlook Express .wab file   In Outlook Express, choose File | Import | Address Book, and choose the .wab file. Then use IEW and choose Import Internet Mail and Addresses.

    If you don't see your application above, try exporting from your program to one of the database formats or to a comma- or tab-separated file. Also, check our page at Converting Addresses and Messages to Microsoft Exchange for additional converters not specifically designed for Outlook but compatible with Microsoft Exchange or Outlook.

    One limitation is that the only way to import non-SMTP addresses such as CompuServe or Microsoft Network is by first importing them to the Personal Address Book, probably using Import to PAB, then into Outlook Contacts. Other methods -- such as importing from Schedule+ or a comma-delimited file -- offer no way to indicate the COMPUSERVE or MSN e-mail address type. Everything is imported as an SMTP address. A possible workaround might be to import the e-mail type and e-mail address into separate User 1 and User 2 fields in Outlook, then use a variation of the technique in the MSKB article How to Programmatically Resolve a Contact E-mail Address to merge that information into the actual E-mail field.
