Hi
I'm a volunteer treasurer for a charity with 30 employees. The charity uses Outlook & 365 and are looking for a way to record and EXTRACT mileage, flexi time & holidays for each employee. Output is used for payroll system so would have to show individuals name. Can this be done via shared calendar ? I have found some instructions on how to export data from a single calendar but none for multiple or shared calendars.
Any suggestions on how to use 365 for recording and outputting data such as recorded mileage ? I don't have access myself to 365 so I'm unable to explore functions available. Would you use Sharepoint and outlook calendar to gather mileage data ? How ?
Any pointers would be much appreciated.
Regards
Phyllis
You could use outlook o sharepoint.... sharepoint would give you more options but it's a website, so users would need to go there to enter values. It would be easier to do it in outlook. As for exporting, you can use a macro to copy everything to a calendar you use for exporting. If you add custom fields, you'll need to use a macro or copy and paste from a list view to get the custom fields values, but exporting will work if you only use the built-in fields.
Hi Diane,
I work for a charity and we have teams of people who work remotely. They record their appointments using Outlook Calendar 2016. I would like some additional fields for them to record info on each appt such as how many people were there, what type of meeting it was etc. This information needs to be reported to the line manager but I also want an overview of all activity in an Excel file or similar to analyse how much time is being spent by the whole organisation on different activities, how many people are being visited etc. What would you recommend?
Thanks
Diane,
Have you tried any of the above with outlook 2016? I'd like to analyze work weeks to get a sense of how much I'm in internal vs client meetings, how much I'm driving, etc. basically a pie chart showing how time is spent. Suggestions?
No, I haven't had the time to test them with Outlook 2016. Sorry. If you use 32-bit Office, they have a better chance of working with outlook though.
If you have everything on your calendar, you might be able to export to excel and create the charts.
thanks so much Diane Poremsky , ...
that sound s like a simple good idea.
How do i do that please?
There are some sample macros at https://www.slipstick.com/outlook/journal/making-the-journal-work-in-outlook-2013/
Hello,
I am self employed, and simply want to have an automatic time tracking system on windows 8 that simply tells me what time I started and finished work on what day. is this possible. when i start i log into windows 8 pc and sign out when finished
Outlook won't do that - you could set up a macro to open a journal item and set the timer then save and close it on exit, but there might be better options with addins or applications outside of outlook.
maybe you have other Information, but in my experience the appointment.billinginformation property is not synced through the Microsoft Exchange Servers. (using an Outlook 365 account). so when we try to share billing Information on appointment entries (shared Outlook calendars) the billing info is only availble at the "authors" side. strange?
It should be synced if you use outlook, it works here. The account has reviewer permissions to my calendar & full free/busy - using Office 365 hosted exchange.
If you are accessing it via smartphones, probably not (I have not checked), because EAS supports fewer fields. OWA may not display all fields either.
